The Ultimate Comms Horror

"SEND TO ALL!" those three words send chills down every communicator’s spine.

It makes me think about what my inbox looks like after being on vacation for a week! Or how you feel when you open a “reply all” email where someone responds as if it were only sent to them.


The challenge of information overload is nothing new. McKinsey & Company talked about how working in multitasking environments was killing productivity, decreased innovation, and made workers more anxious back in 2011!


In the video, I shared 3 ways to cut through the noise:

  1. Target with data: show why personalized comms work.

  2. Create FYI pathways: send leader pre-reads or weekly digests

  3. Maximize your intranet: make information searchable and accessible.


Here are 3 more:

  1. Ask questions: what is the outcome your stakeholder is looking to achieve? There may be other ways you can support that outcome without sending a communication to everyone and without saying no. 

  2. Conduct regular communication audits: Periodically review the effectiveness of your comms by gathering feedback on what your people find useful. The information you learn will be helpful in building your business case library.

  3. Build a business case library: These will be your go-to documents that you can use to show qualitative (feedback) and qualitative (data) evidence of best practices for your organization. You will want to have both what works and what doesn't work and why. It is best to use business cases during face-to-face discussions (in-person or by video call) and not by email.


By taking control of the message flow and addressing your people’s needs, you can significantly reduce information overload, which will lead to better business outcomes.
